ARVOS PRIVACY POLICY

1. Introduction
This Privacy Policy describes how IT
Management Corporation, a California corporation doing business as ARVOS
(“ARVOS,” “we,” “us,” or “our”), collects, uses, processes, discloses, and
safeguards information in connection with its push-to-talk communications
platform, mobile applications, web interfaces, devices, and related services
(collectively, the “Services”). This Privacy Policy applies to Customers,
administrators, end users, and any individuals whose information is processed
through the Services.
By accessing or using the Services,
you acknowledge that you have read and understand this Privacy Policy and agree
to the collection, use, and disclosure of information as described herein. If
you are using the Services on behalf of an organization, you represent that you
are authorized to accept this Privacy Policy on behalf of that organization.
2. Nature of the Services and Roles of
the Parties
ARVOS provides a business
communications platform designed for use by organizations, including but not
limited to educational institutions, government agencies, commercial
enterprises, construction organizations, hospitality providers, and security
operations. The Services enable real-time communications, location tracking,
device management, recording, analytics, and other operational capabilities.
In many cases, ARVOS acts as a service
provider or processor on behalf of its Customers, who
determine how the Services are configured and used. Customers control
administrative settings, including but not limited to recording, location
visibility, user permissions, retention configurations (within system limits),
and access controls. ARVOS does not control how Customers configure or use the
Services and is not responsible for Customer configuration decisions.
Customers are solely responsible for
ensuring that their use of the Services complies with applicable laws,
including providing appropriate notices to end users and obtaining any required
consents relating to communications monitoring, recording, location tracking,
or data processing.
3. Categories of Information Collected
ARVOS may collect and process various
categories of information in connection with the provision of the Services.
This includes account and contact information such as names, email addresses,
telephone numbers, organizational affiliations, and billing details. ARVOS may
also collect communications data, including push-to-talk audio transmissions,
voice communications, messages, attachments, call logs, and related metadata
generated through the use of the Services.
The Services may collect and process
location information, including GPS coordinates, device location data, movement
patterns, and proximity information, which may be visible to administrators,
dispatch personnel, or authorized users depending on Customer configuration.
Device and system information may also be collected, including device
identifiers, operating system details, network information, IP addresses,
carrier data, signal strength, application usage data, and diagnostic logs.
ARVOS may process images, video,
documents, and other files transmitted through the Services. In addition, ARVOS
may collect analytics and derived data generated through system usage,
including data processed through artificial intelligence features such as
transcription, translation, sentiment analysis, and communication analytics.
Support-related information, including
communications with ARVOS technical support, troubleshooting data, and recorded
support interactions, may also be collected.
4. Use of Information
ARVOS uses collected information to
provide, operate, maintain, and improve the Services, including enabling
communications functionality, supporting GPS and dispatch features, delivering
recording and analytics capabilities, and facilitating artificial intelligence-based
features. Information is also used for customer support, troubleshooting,
system monitoring, security, fraud prevention, and compliance with legal and
regulatory obligations.
ARVOS may use information in
aggregated or de-identified form for analytics, product development, service
improvement, benchmarking, and operational optimization. Such aggregated or
de-identified data does not identify individual users.
5. Artificial Intelligence and
Automated Processing
The Services may include artificial
intelligence and automated processing features that analyze communications and
related data. These features may include, without limitation, transcription,
translation, sentiment analysis, pattern recognition, and operational insights.
Certain AI capabilities may be provided by third-party service providers acting
as subprocessors.
Artificial intelligence outputs are
inherently probabilistic and may contain errors, omissions, or inaccuracies.
Factors such as background noise, accents, language variations, pronunciation,
technical limitations, or contextual ambiguity may affect results. ARVOS does
not guarantee the accuracy, completeness, or reliability of AI-generated
outputs, and such outputs should not be relied upon for critical
decision-making, safety-related purposes, or legal determinations.
6. Recording, Monitoring, and Location
Tracking
The Services are designed to support
operational monitoring capabilities, including the recording of communications,
tracking of device location, and monitoring of system activity. Due to the
real-time nature of push-to-talk communications, it is not feasible to provide
per-transmission notices or obtain per-interaction consent for recording or
monitoring.
Users of the Services should have no
expectation of privacy with respect to communications, location data, or system
activity conducted through the Services when used within an
organization-controlled environment. Customers are responsible for determining
whether recording, monitoring, and location tracking features are enabled and
for ensuring compliance with applicable laws, including providing notice and
obtaining any required consents from end users.
7. Device Permissions and Application
Access
The ARVOS mobile application may
request access to device features, including but not limited to microphone,
location services, camera, storage, and contacts, as necessary to provide the
Services. These permissions are controlled through device settings and may be
limited or revoked by the user or by administrative policies established by the
Customer.
Limiting or disabling certain
permissions may impact the functionality or availability of certain features of
the Services.
8. Device Management and
Administrative Access
For devices managed by Customers,
ARVOS and authorized administrators may have the ability to monitor device
status, enforce policies, deploy updates, control application access, and
perform actions such as remote lock or remote wipe. These actions may result in
the deletion or loss of data on the device.
For bring-your-own-device (BYOD)
environments, ARVOS does not install or control full mobile device management
functionality and only manages the ARVOS application itself. Customers and
users are responsible for understanding the scope of device management
applicable to their devices.
ARVOS is not responsible for any data
loss, device impairment, or operational impact resulting from administrative
actions taken by Customers or their authorized personnel.
9. Disclosure of Information
ARVOS may disclose information to
service providers, vendors, and subprocessors that
assist in delivering the Services, including hosting providers, infrastructure
providers, analytics providers, and artificial intelligence service providers.
ARVOS may also disclose information to Customers and their administrators, who
have access to user data within their organization’s environment.
ARVOS may disclose information to law
enforcement agencies, regulatory authorities, or other third parties where
required by law, legal process, or to protect the safety, rights, or property
of ARVOS, its Customers, users, or others. ARVOS is
not obligated to provide notice of such disclosures where prohibited by law or where such notice could
compromise investigations or legal processes.
Information may also be disclosed in
connection with a merger, acquisition, financing, or sale of assets, subject to
applicable confidentiality obligations.
10. Data Retention
ARVOS retains information for a
limited period consistent with the purposes for which it was collected,
generally up to one hundred eighty (180) days, unless a longer retention period
is required or permitted by law, necessary for legal, regulatory, security, or
operational purposes, or configured by the Customer within system capabilities.
ARVOS is not intended to serve as a
long-term data storage or archival system. Customers are responsible for
exporting, retaining, and managing their data as necessary for their business,
legal, or compliance needs.
11. Data Security
ARVOS implements commercially
reasonable administrative, technical, and physical safeguards designed to
protect information from unauthorized access, use, or disclosure. These
measures may include access controls, encryption practices, monitoring systems,
and security protocols.
Notwithstanding these measures, no
system can be guaranteed to be completely secure, and ARVOS does not warrant or
guarantee the absolute security of any information transmitted to or stored
within the Services.
12. Customer Responsibilities
Customers are responsible for
configuring the Services in a manner consistent with their legal obligations
and operational requirements. This includes managing user permissions, enabling
or disabling recording and location tracking features, establishing appropriate
retention practices, and ensuring that users are provided with required notices
and have provided any necessary consents.
Customers are also responsible for
compliance with all applicable privacy, telecommunications, employment, and
surveillance laws, and for ensuring that their use of the Services does not
violate the rights of any individual.
13. California Privacy Rights
Residents of California may have
rights under the California Consumer Privacy Act, as amended by the California
Privacy Rights Act, including the right to request access to personal
information, request deletion or correction of personal information, and
request information about how personal information is used and disclosed.
ARVOS does not sell personal
information for monetary consideration. To submit a privacy request,
individuals may contact ARVOS using the contact information provided below.
ARVOS will take reasonable steps to verify the identity of requestors prior to
fulfilling such requests.
14. Cookies and Tracking Technologies
ARVOS may use cookies and similar
tracking technologies on its websites and web-based Services to support
functionality, analyze usage, enhance performance, and improve user experience.
Certain features of the Services may not function properly without the use of
cookies.
ARVOS does not currently respond to
browser “Do Not Track” signals.
15. Third-Party Services and Links
The Services may integrate with or
provide access to third-party applications, platforms, or services. ARVOS does
not control and is not responsible for the privacy practices, security, or
content of such third-party services. Users and Customers are encouraged to
review the privacy policies of any third-party services they use.
15A. Google User Data
When a user chooses Google sign-in, ARVOS receives the basic Google account
information made available through that sign-in flow, which may include the
user's email address, Google account identifier, name or other basic profile
details, and profile image when available. ARVOS uses this information to match
the user to an existing authorized ARVOS account, authenticate the user, create
and maintain the signed-in session, and display profile information. Google
sign-in by itself does not grant ARVOS access to the user's Gmail inbox, Google
Drive, or Google Calendar.
An authorized Customer administrator may separately connect optional Google
services. If Gmail send permission is approved, ARVOS may use that permission
to send email from the connected account for the ARVOS feature that initiated
the connection; this permission does not allow ARVOS to read the connected
account's inbox. If Google Calendar permission is approved, ARVOS may access
and manage calendar data for the Customer feature that initiated the connection.
These optional permissions require a separate Google consent step and are not
granted through Google sign-in alone.
ARVOS may store Google authorization credentials and limited connection metadata
so the selected feature can continue to operate. ARVOS does not sell Google user
data or use Google user data for advertising. ARVOS transfers Google user data
only as directed by the user or Customer, as necessary to provide the selected
ARVOS feature through service providers acting on ARVOS's behalf, or as required
by law. ARVOS's use and transfer of information received from Google APIs adheres
to the Google API Services User Data Policy, including its Limited Use
requirements.
Users and Customers can revoke ARVOS access through their Google Account
permissions. They may also contact support@ARVOS.io to request assistance with
disconnecting a Google integration or deleting associated Google connection
data, subject to applicable legal and contractual retention requirements.
16. Data Accuracy and Reliability
Information processed by the Services,
including but not limited to GPS location data, communications data, analytics,
and AI-generated outputs, may be subject to inaccuracies, delays, or technical
limitations. ARVOS does not guarantee the accuracy, completeness, or
reliability of such information.
17. Children’s Privacy
The Services are intended for use by
organizations and are not directed to children under the age of thirteen. ARVOS
does not knowingly collect personal information from children in violation of
applicable law.
18. Changes to This Privacy Policy
ARVOS reserves the right to update or
modify this Privacy Policy at any time. Updated versions will be posted with a
revised effective date. Continued use of the Services after such updates
constitutes acceptance of the revised Privacy Policy.
